5 Considerations to Make Before Printing Event Programs

Today is opening day for the 20th Annual Cochise Cowboy Poetry & Music Gathering in Sierra Vista, Arizona, in a year marking Arizona's Centennial Anniversary of statehood. Each year, enthusiasm for this event grows...more participants, guests and musicians; more attendees; more vendors. An event is represented most thoroughly by the printed program.

Having event programs provides an excellent way to let attendees know what is going on without having to make announcements all day. Almost any commercial printer can print event programs, especially in a standard size, such as 8.5" x 11". But there are myriad options to consider before choosing a printer.

Define Your Event
What is your event? Are you a theater troupe putting on a play, an organization holding a business expo or a sports team having a home game?

Create the Content
What is going to go into your program? Gather as much information as you can before putting together a printing plan. There are a great number of things that can be included:

Schedules
Advertisements
Local Map
Local Attractions
Local Restaurants
Local Hotels
Artwork

Does your team or annual event have a brand, image, logo or set of colors? Are you using line art, illustrations or photographs for the cover and interior artwork? Find out if your commercial printer has an in-house design team to assist you with this, or if you have to provide camera-ready artwork.

Binding
The thickness of your event program will usually determine what type of binding will be used. Thinner programs can be center stapled, thicker ones will need to be perfect bound or stitched and most can be spiral bound. Find out what your printer's bindery capabilities are before printing.

Paper Stock
What kind of paper do you want to use? Do you want matte (flat) or gloss (shiny)? Do you want the covers to be thicker than the interior pages? Do you want it laminated? What color paper will you use? Do you want recycled paper or not? There are hundreds of options from which to choose.

So, before you select a commercial printer to print your event program, do some research. Look at programs from other events, both like yours and those that differ. Then make some phone calls and ask printers about your options.
